About the Role

We’re looking for a Care Coordinator who can sit at the intersection of women’s health and mental wellness—supporting Evernow’s patients through hormone and menopause care and Better U Inc.’s patients through their mental health and psychedelic-assisted therapy journeys.

You’ll be the operational backbone and compassionate voice who keeps care moving: coordinating with pharmacies and insurers, managing prior authorizations, supporting clinicians, and making sure every patient feels seen, safe, and supported at every step. This is a full-time, in-office role at our Hollywood Blvd location, working inside a high-growth, mission-driven startup environment. You’ll also be responsible for hitting key performance indicators (KPIs) related to response times, completion rates, and patient satisfaction, helping us keep customers happy and cared for.

You’ll support patients at Better U Inc. who are seeking real relief from depression, anxiety, PTSD, and other mental health challenges through guided psychedelic and holistic care—often after everything else has failed.

You’ll turn complex workflows (insurance, pharmacies, scheduling, follow-ups) into a calm, grounded, and empowering experience for patients and providers alike.

What You’ll Do

Be the first friendly, informed point of contact for patients exploring Evernow’s hormone and menopause care and Better U Inc.’s mental health and psychedelic-assisted care.

Coordinate care between patients, clinicians, pharmacies, and support teams, ensuring no detail falls through the cracks.

Own prior authorization workflows, insurance verifications, pharmacy follow-up, and refills with a high degree of accuracy and urgency.

Manage scheduling, reminders, and follow-ups to support continuity of care and strong therapeutic relationships.

Work inside EMR/CRM tools (GoHighLevel or similar) to document, track, and optimize patient journeys across both brands.

Collaborate closely with clinical and operations leaders to refine workflows, close gaps, and continuously improve the patient experience while meeting and exceeding KPIs.

What You Bring

Minimum of 3 years of experience in healthcare (care coordination, women’s health, mental health, medical office, or related healthcare operations).

Strong background working with pharmacies, prior authorizations, and insurance; you understand the language and know how to move things forward.

Tech-savvy and comfortable navigating EMRs, CRMs, telehealth tools, and digital workflows; you’re excited by systems that make care better.

Exceptional organization, attention to detail, and follow-through—you can hold many moving pieces while still leading with empathy.

High emotional intelligence, calm under pressure, and a genuine passion for wellness, healing, and human transformation.

Experience leading or mentoring a team, managing workflows, or informally supervising others is a plus; we value people who step up, take ownership, and elevate everyone around them.

Bonus: Multilingual skills are a plus, especially Tagalog/Filipino, as many of our patients and families come from diverse backgrounds and appreciate care in their preferred language.
