Pre-Booking Specialist

The Pre-Booking Specialist is responsible for assisting with the coordination of non-emergency medical transportation by proactively reaching out to a network of healthcare facilities to pre-schedule ambulance transports. Working closely with the Business Development Department and the Managing Director, this role helps forecast daily and weekly call volume and ensures efficient scheduling and communication with dispatch and operations teams.
Key Responsibilities
- Call hospitals, skilled nursing facilities, and clinics within our target network to confirm and pre-book patient transports.
- Maintain and update a pre-booking calendar with daily and weekly transport schedules.
- Build rapport with facility contacts and provide excellent customer service.
- Communicate scheduling updates and confirmed trips to dispatch and appropriate staff.
- Assist in identifying opportunities for additional transports or follow-ups based on facility needs.
- Support the business development team with administrative tasks related to scheduling and account management.
- Maintain accurate documentation and data entry of all pre-booked calls in relevant systems.
Qualifications
- High school diploma or equivalent required; associate’s degree preferred.
- Prior experience in a healthcare, scheduling, or customer service setting strongly preferred.
- Excellent communication and phone etiquette.
- Strong organizational skills with attention to detail and accuracy.
- Proficiency with Microsoft Office and ability to learn new systems quickly.
- Ability to work independently and manage time effectively in a fast-paced environment.
- Bilingual (Tagalog, Spanish, or Chinese dialects) is a plus, but not required.
- Familiarity with EMS or medical transportation is a plus.
